PROGRAM SUMMARY:

HomeFirst is a leading provider of services, shelter, and housing opportunities to the homeless and those at risk of homelessness in Santa Clara County. The Administrative Office houses instrumental support personnel of the agency, including the following departments: Finance/Accounting, Human Resources, Information Technology, Funds Development, and Data Management.

 

DUTIES/RESPONSIBILITIES:

Under the general supervision of the CFO, the position should be able to work independently with minimal supervision and possess all the appropriate skills to support timely presentation of government grant invoices to funding agencies. This position should also be able to deal directly with the government officials who supervise the grant reporting and contract management. The position applies principles of accounting and financial analysis to maintain the general accounting systems, reconciles various general ledger accounts, prepares journal entries, performs grant billing functions, assists in developing contract budget, and financial and variance analysis related to grant performance, and performs other duties as required:

>Prepare the grant-related billings to State, County, City, Federal, and other entities in accordance with their grant requirements, as necessary, which includes extracting information from general ledger and comparing the information against the grant budgets.

>Prepare the billing invoices for the grantors with all supporting documentation to be filed with the billing invoice.

>Communicate with government agencies to confirm approval of invoices submitted and follow-up on collections.

>Assist in preparation of the annual operating budgets for the grants.

>Analyze actual to budget variances and assist in resolving and/or explaining the variances.

>Keep the Chief Financial Officer informed on the status of the grant invoices produced and collected.

>Conduct special analyses and projects, as assigned, and prepare reports detailing findings.

>Coordinate all grant-related efforts with independent, regulatory and other outside auditors; explain accounting practices and systems; prepare requested material as required.

>Provide backup support for Accounts Payable and other general Accounting functions.

 

QUALIFICATIONS:  

Education and Experience

>Experience in accounting and finance principles acquired through completion of a degree in Accounting, Finance, or Business Administration.

>Approximately three years of progressively related accounting and finance experience.

Skills, Abilities, and Knowledge

>Strong ability to effectively communicate both orally and in writing with managers and/or supervisors, as well as outside auditors and other client-related staff members.

>Experienced analytical skills required to assist in the development and maintenance of the accounting and finance-related tasks.

>Expertise in detailed general ledger accounting; knowledge of budgeting, forecasting and financial analysis techniques.

>Ability to resolve accounting problems and prepare financial analyses.

>Ability to use personal computers, spreadsheet and word processing software, proficiency with Microsoft Excel and Word; ability to learn accounting software.

>Ability to stand/sit for extended periods, kneel, reach and bend related to completion of duties.

>Ability to perform sedentary work.

>Ability to use a keyboard, read computer screens.

>Ability to occasionally lift and carry 35 lbs.
